⇄ The integration in detail

Personio and Sage.
Connected both ways.

A change in Personio lands in Sage automatically, and whatever payroll produces finds its way back into the employee file. Employee records, contracts, pay components, absences and even documents. Set up in a few minutes.

Set up in minutes You can do it yourself, depending on your Sage version Documents too
How it works

Three steps.
Then it runs by itself.

You do not need an integration written for you and you no longer export a file. The connection runs directly between the two programmes.

1

You connect Personio and Sage with the credentials you already have. No new account, no installation, no file.

2

Choose

You decide which data runs in which direction, and from when. All by clicking, with no technical knowledge.

3

Running

From then on the two programmes reconcile automatically. Every transfer is logged so you can trace it.

Your effort after that: none.

The real difference

No ticket. No queue.
No project.

Most plans in an HR team fail not on the idea but on where IT ranks them. “We will do it next quarter” means, in practice, next year. This integration you set up yourself.

No longer needed Development No integration to be programmed. No department writing a requirement. The connection already exists. You switch it on.
No longer needed Coordination No specification, no project plan, no approval round. You decide what you need in the interface yourself, and change it again tomorrow if it should be different.
No longer needed Dependence If something changes in either interface, we follow up. Your IT team hears nothing about it, because there is nothing for them to do.

What your IT team contributes: ideally nothing.

What sets it apart

Not just there.
Back again too.

Most solutions push data in one direction, and in the end somebody still types the response from payroll back in. With us both directions run.

→ From Personio to Sage
  • A new employee is hiredThe payroll record appears in Sage before anyone asks for it.
  • Address or bank details changedPayroll uses the right data from the next run onwards.
  • Salary adjustedThe new amount is in payroll with its effective date.
  • Leaving date enteredThe final pay run is prepared and the leaving date is right everywhere.
⇄ both directions
← From Sage to Personio
  • Payroll has runThe result sits as a document in the employee file, with nothing forwarded by email.
  • A correction in payrollThe correction flows back so both systems hold the same data.
  • Pay types and cost centres updatedThe mapping in Personio stays current without HR having to update it.
  • A certificate is createdIt lands automatically in the digital employee file, available to the employee.
What you can do with it

Six workflows
that run by themselves from now on.

These are not examples from a brochure, this is how they run at customers who have connected Personio and Sage through HR-Autopilot.

Trigger: offer accepted in the applicant system

Prepare onboarding in full

Create the employee file in Personio, generate the payroll record in Sage, produce the contract from the template and file it in both systems.

Personio→Sage→Document
Trigger: a change in Personio

Keep employee records aligned

Address, bank details, marital status, tax details, changed once and correct in payroll straight away. The most common query disappears.

Personio→Sage
Trigger: the payroll run has finished

File the payslip in the record

The finished payslip moves back to Personio as a document and is available to employees there, with nothing sent by email.

Sage→Personio
Trigger: a salary change is approved

Apply the new pay

The new amount, the allowances and the effective date land in payroll. No collection list for someone to work through at month end.

Personio→Sage
Trigger: an absence is recorded

Hand over the absences

Leave, sickness and unpaid leave with the period and the status, including the right pay type when continued pay ends.

Personio⇄Sage
Trigger: leaving date set

Handle offboarding cleanly

Prepare the final pay run, set the leaving date in both systems, produce the certificates and archive them in the record.

Personio⇄Sage→Archive
What gets transferred

Every data object
, in the direction you need.

You decide for each object whether it runs one way, the other, or both.

What changes for you

First you win time.
Then you win weight.

As long as preparing payroll blocks half the calendar every month, strategic people work stays an intention. Not for lack of ability, but because the operational work occupies your head.

What stops
  • Retyping in two programmesWhat is in Personio is in Sage. Without anyone transferring it.
  • Retrospective calculations the following monthThe most common cause, a record change that reached only one system, no longer exists.
  • Queries from financeNo more calls because bank details are out of date or a cost centre is wrongly assigned.
  • The folder of helper filesNo export, no intermediate spreadsheet, no file only one person understands.
What becomes possible
  • Workforce planning with numbers you can rely onWhen both systems hold the same data, you can analyse properly for the first time instead of estimating.
  • You sit differently in the meetingAnyone who can produce turnover, cost per hire and staff cost trends at the touch of a button is heard differently.
  • Time for people instead of fieldsConversations, development, retention, the work you joined an HR team to do.
  • You deliver digitalisation instead of announcing itThe first working integration is the proof that it can be done. After that nobody asks whether HR can manage it.
And this lasts

In many companies HR is the department least trusted to innovate. Whoever is first to connect two core systems automatically turns that perception around, not through a concept but through a process that runs from Monday.

Setting it up

Minutes instead of months.
And often without us.

How fast it goes depends mainly on your Sage version. In many cases you do not need us at all.

A few minutes

Sage in a current version

You sign in with the credentials you already have, choose which data should run, and the connection is live, entirely on your own, with no appointment with us.

One short call

An older or on-premise installation

If Sage runs on your own server or in an older version, we set the connection up together, usually in under an hour.

After that

We keep it running

If either vendor changes something in its interface, we follow up. As an official partner we usually hear about it beforehand.

Often connected together

It rarely stops
at two programmes.

Whoever connects Personio and Sage usually brings in time and attendance and the user accounts shortly afterwards.

Common questions

What people ask
about this integration

Does the transfer really run both ways?
Yes. Changes from Personio land in Sage, and results from payroll find their way back into the employee file. You decide which direction applies to which data object. You do not have to run everything both ways.
Are you an official partner of Personio and Sage?
Yes, of both. That means we work with the approved interfaces, know the particularities of each version and usually hear about changes in advance.
Which data can be transferred?
Almost all of it: employee records, contract data, pay components, organisational assignment, absences, and documents on top of that. That is exactly what separates a complete integration from an export that covers only part of it.
How long does setup take?
A few minutes. Depending on your Sage version you can set the connection up entirely yourself, with no appointment with us and without your IT team. For older or on-premise installations we support the setup in a short call.
We already have an Excel solution. Why change?
Because solutions like that rarely stay as they were meant to be. First an export, then a formula for special cases, then a second file, and eventually only one person understands the process. A complete integration does not go that way.
What happens if Personio or Sage changes the interface?
We monitor both integrations and follow up. As an official partner we usually hear about changes in advance. Ideally you notice nothing, and your IT team does not have to act.
