Automating time and attendance
Deadlines, supplements and shift models without a night shift

Time and attendance has the hardest deadlines and the most complicated rules. The six-week sickness deadline, collectively agreed supplements, shift models with different supplement rates: all of it has to be right or payroll comes out wrong.

6 hrs less reconciliation per month per 100 employees estimated from comparable projects

The starting point

What time and attendance
costs in time today.

1

The six-week deadline is watched in a list, not in the system

2

Collectively agreed supplements are calculated or re-checked by hand

3

Time data comes from one system and payroll needs it in another format

4

Rotating shift models regularly produce discrepancies

Three examples

Simple, medium
and genuinely complex.

All of them examples from live operation. What gets built is whatever comes up in your work.

SimpleA few steps, ready straight away

Pass on a sick note

TriggerA report in self-service or by phone

  1. Record the absence
  2. Inform the manager
  3. Hand it to time and attendance

ResultThe sick note is known everywhere before the call has ended.

MediumWith conditions and approvals

Keep an eye on continued pay

TriggerThe illness continues

  1. Count the days
  2. Watch the six-week deadline
  3. Switch the pay type
  4. Calculate the sick pay supplement
  5. Warn the HR team

ResultThe switch to statutory sick pay happens automatically, not three weeks too late.

ComplexBranches, deadlines, several systems

Shift planning with supplements and collective agreements

TriggerMonth end in time and attendance

  1. Fetch the actual hours
  2. Calculate supplements under the agreement
  3. Separate night work and public holiday work
  4. Distinguish standby from on-call
  5. Check maximum working hours
  6. Carry the balances over
  7. Put deviations forward for approval

ResultCollectively agreed supplement rules across several shift models, checked and evidenced.

The exceptions

And what about
the special cases?

That is the question most automation projects fail on. With us the exceptions get built in, not left out.

Sickness running across the turn of the year
A return from parental leave on different working hours
Public holidays that differ between federal states

Each of these cases can be mapped in the builder as its own branch, with a condition, an approval and a different route. Without a line of code.

Common questions

What we are asked about time and attendance
most often.

Can the six-week deadline be monitored automatically?
Yes. The workflow counts from the first day of incapacity, allows for interruptions and gets in touch in good time before it expires, to HR, the manager or both.
Are collectively agreed supplements calculated correctly?
The calculation stays in the time and attendance system, where it belongs. The workflow makes sure the results reach payroll in full and in the right format.
What about shift models that change during the year?
The change moves into every system involved with its effective date. As it does, the workflow checks whether the new model fits the supplement rules on file.
Does it work with ATOSS, TimeTac or Quinyx?
Yes, all three are connected, as are other time and attendance systems. If yours is missing, we build the integration at no extra cost.
