How Payroll Finally Runs Smoothly through Automation

Challenges:

Before the introduction of the HR Autopilot, human resources department at gema faced many challenges, particularly around the payroll processes.

  • High manual effort: Processes related to payroll and master data maintenance required multiple interventions and led to long processing times.
  • Media breaks and dependencies: There were no seamless interfaces between P&I Loga and other tools such as Guidecom. Data had to be transferred manually, which opened up sources of error.
  • Lack of transparency: Without automated processes, it was difficult to keep track of billing statuses or changes at all times.
  • Security requirements: Since sensitive personnel data is processed, a reliable, secure integration of the systems (including VPN/Site2Site connection) was essential.

Implementation:

  • Duration: The implementation of the core process was completed within approximately 6 weeks until we could go live.
  • Steps: In several workshops with HR Autopilot and GEMA's IT department, the requirements for the integration were first defined. Pilot workflows for the bidirectional interface between P&I Loga and Guidecom were then implemented. In parallel, tests of the VPN and WebDav/REST interfaces were carried out before live operation was started. Another sub-project involved renaming and structuring the payrolls.
  • Special features: The implementation took place in close cooperation between HR, IT and HR Autopilot. Special attention was paid to data security and the stability of the connection. Thanks to the practical optimization during the workshops, the solutions could be tailored directly to the daily processes.

Collaboration:

The cooperation with HR Autopilot was described by the project managers as solution-oriented and Reliable. Thanks to the close coordination on technical questions (e.g. VPN, interfaces) and the fast support, the GEMA team felt well looked after at all times.
